Privacy Policy
Last updated: October 21, 2026
This policy explains what information FarmOS AI collects when you use our website and app, how we use it, and the choices you have.
1. Who we are
FarmOS AI is operated by Ugouno International Limited, 12 Allée de l’Envol, 33700 Mérignac, France (“we”, “us”). We are responsible for the personal information described in this policy.
2. Account and contact information
When you create an account we collect your name, email address and password (stored only in protected, hashed form), and your organization name. If you sign in with Google, we receive your name and email from Google. Team invitations store the invited person’s email and role.
3. Farm, field and location data
You may record farms, fields, field boundaries, GPS locations and addresses. Locations are used to show maps and to fetch weather for your farm.
4. Operational records, images and documents
Depending on how you use the service, we store the information you enter or connect, including:
- crop and planting cycles, harvests, soil tests and treatments;
- livestock groups and animal events;
- irrigation, inventory, suppliers and purchase orders;
- expenses, revenue and budgets;
- sensor readings sent through your API keys;
- weather observations and forecasts for your locations;
- photos (for example crop images and receipts) and documents (for example soil reports).
5. AI processing
When you use AI features (such as the AI Farm Manager, crop photo diagnosis, reports or suggested actions), the relevant parts of your farm records and any photo you attach are sent to an AI model provider to generate a response. We send only the information needed for the question you asked, limited to the organization you are working in.
AI suggestions that would change your records are never applied without your approval. We keep a record of AI requests and decisions for audit and usage-limit purposes. AI requests are processed by our AI service providers, who process the information only to generate a response and do not use your farm data to train their models.
6. Payments
Subscriptions are paid through Paystack (customers in Nigeria) or Paddle (other countries). Your card or bank details are entered on the payment provider’s pages and handled by that provider; we do not store full card numbers. We receive and keep subscription status, plan, amounts, dates and transaction references. Paddle acts as the merchant of record for its sales and processes your information under its own privacy policy.
7. How we use your information
- to provide, secure and support the service;
- to generate weather alerts, reports, forecasts and AI recommendations;
- to process subscriptions and enforce plan limits;
- to send service messages, such as account and security emails;
- to detect misuse, fix errors and keep the service reliable.
8. Storage, access control and security
Data is stored with our hosting and database providers. Access is limited to members of your organization according to their role, and files are kept in private storage. We use reasonable technical and organizational measures to protect information, but no system can be guaranteed to be completely secure.
9. Retention, deletion and account closure
We keep your information while your account is active. You can delete your account from Account settings; account deletion may be blocked while you still own a team with other members or an active subscription. After deletion, data is removed within 30 days, except where we must keep certain records (for example billing records) for legal or accounting reasons, which we keep for up to 10 years as required by law. Backups, where maintained, rotate within 35 days.
10. Service providers and international transfers
We use service providers for hosting, database and file storage, AI processing, weather data (Open-Meteo), email delivery and payments (Paystack, Paddle). These providers may process information in countries other than your own, including the United States and Nigeria. Where information is transferred out of the European Economic Area or the United Kingdom, we rely on appropriate safeguards such as the European Commission's standard contractual clauses. You can contact us for more detail about the providers we use.
12. Your rights
Depending on where you live (for example under the EU/UK GDPR or Nigeria’s data protection law), you may have the right to access, correct, delete, or export your personal information, to object to or restrict certain processing, and to complain to a data protection authority. Many records can be viewed, edited, exported and deleted directly in the app. To make a request, contact us using the details below. We may need to verify your identity.
13. Children
FarmOS AI is a business service and is not intended for people under 18.
14. Changes to this policy
We will update the date at the top when this policy changes and notify account owners of significant changes.
